The questions we get asked.

How much does outsourced IT support cost for a 40-person company?

At Vauban, between €600 and €2,000 per month for 40 users. Helpdesk is €15 per user, per month, €25 with onboarding and offboarding, €50 with cybersecurity and backups: each price is a total, not an add-on. Prices are public, the simulator gives you the contract total, and what is not included is written down.

How do you switch IT providers without any interruption?

By letting the new IT provider recover the access, email and files from the previous one itself. At Vauban, this happens in four steps: a 30-minute call and a free audit of your devices and processes, a quote within 24 hours, the handover of your IT (hardware, access, servers, software), then a full takeover of management within 2 weeks. Your teams keep working in the meantime, and the handover is not billed.

What is outsourced IT support, in practice?

An external team that manages your staff's computers, accounts and security day to day, instead of an in-house IT employee. At Vauban, this means: your requests picked up on Slack, Teams, by email or by phone, your devices monitored continuously, updates and security patches applied without you having to ask, and a report every month.

Which IT provider for an accounting firm or an asset management firm?

An IT provider that understands the constraints of the financial sector: confidentiality of client data, closing periods when IT must not go down, compliance requirements. Vauban works with accounting firms, asset management firms, insurance brokers, wealth management advisors and law firms. We also produce compliance reports on your infrastructure.

Which IT provider for an agency or a consulting firm?

An IT provider that responds quickly, on the tools your teams already use. In an agency or a consulting firm, people come and go often (consultants, freelancers, interns), teams work on Mac as well as Windows, and often outside the office. At Vauban, every request is picked up in under 2 minutes on Slack, Teams, by email or by phone, and onboarding and offboarding are part of the offer.

What must an IT provider deliver to a financial firm subject to DORA?

The EU DORA regulation, in force since January 17, 2025, requires financial entities to oversee their IT providers. In practice, the contract with your IT provider must describe the service precisely, state where your data is processed, and provide for its assistance in the event of an incident. For critical functions, it must also include quantified service levels, a tested business continuity plan, a right to audit and an exit strategy. You also need to keep a register of your IT providers. At Vauban, your devices are visible live, a report goes out every month, and the exit is planned from the start.

How quickly does an IT provider pick up a request?

At Vauban, in under 2 minutes, 24 hours a day, 7 days a week, through the channel of your choice. Resolution, on the other hand, cannot be guaranteed within a fixed time: some problems take time, and we prefer to say so. Remotely, we are there in 2 minutes; on site, allow half a day.

Does artificial intelligence replace technicians?

No. At Vauban, a technician takes charge of every request, faster thanks to our AI agents: they gather the context (the machine, its state, the history, the access rights) and take care of repetitive tasks. The technician doesn't restart the investigation: they fix the problem. A human always stays in control: no action on your data, your access or your billing is taken without a technician's approval.

What is not included in a managed IT services plan?

With most managed service providers, it is unclear. At Vauban, it is written down: on-site interventions at your premises (audiovisual, Wi-Fi and network, cabling and racks, multi-site support, maintenance) and in-person training. For these needs, an on-site partner we have vetted steps in, on quote, and nothing is billed without your approval.

Can you leave your IT provider whenever you want?

With Vauban, yes, with a 3-month notice period. The handover is not billed. If you leave, we hold nothing back: we organize the exit and give you the access, the documentation for everything we have done and the configurations, then we transfer it all to the IT provider of your choice.

What does the free IT audit include?

After a 30-minute call, we audit your devices and take an inventory, then we review your IT management processes and the configuration of your tools, such as Google Workspace. You receive a written assessment. The audit is free and with no commitment.

Should you hire an IT person or outsource IT support?

It depends on your size, but one thing does not change: a lone IT person carries every request: when they are on vacation, out sick, or the outage happens in the evening, no one takes over, and they rarely have time to lead in-depth projects. With Vauban, the day-to-day is on us, 24 hours a day, for a fixed price of €15 to €50 per user, per month; your projects remain yours.

What is the difference between managed IT services and outsourced IT support?

Both entrust your IT to an outside provider. Traditional managed IT services often bill per ticket or per quote, and add services during the year. Outsourced IT support like Vauban works on a per-user flat fee, with public prices, requests picked up where you work (Slack, Teams, email, phone), and what is not included written down in black and white.

How much do managed IT services cost per user?

At Vauban, from €15 to €50 per user, per month, depending on the plan you choose: €15 for Helpdesk, €25 with onboarding and offboarding, €50 with cybersecurity and backups. Each price is a total. The plan follows your devices, recalculated every month, and the price you sign does not change on its own.

Can IT support respond on Slack or Microsoft Teams?

Yes. At Vauban, your staff write in Slack or in Teams, as they would to a colleague, or send an email, or call. The request is picked up in under 2 minutes, with no number to remember and no tool to install.

What happens if an outage occurs at night or on the weekend?

At Vauban, monitoring never stops. Between 8 p.m. and 8 a.m., an agent watches your devices: a disk filling up, a backup that failed, a server going offline. It handles what it knows how to handle, and prepares the rest for the technician who arrives at 8 a.m., with the diagnosis and what has already been tried.

Do you manage Microsoft 365 and Google Workspace?

Yes. We manage Microsoft accounts with Entra ID and computers with Microsoft Intune or NinjaOne, and we back up Microsoft 365 and Google email and files with NinjaOne SaaS Backup, in the Cybersecurity plan. Microsoft does not back up your data for you.

What tools does Vauban use?

NinjaOne for monitoring, updates, remote control and backup; Microsoft Intune and Entra ID for computers and accounts; an antivirus that detects attacks in real time (a managed EDR), whose alerts are handled 24/7, in France. We prefer to name our tools: it can be verified.

How do you protect a small business against ransomware?

Three things, in this order: fix known vulnerabilities on every machine, starting with the most serious; install an antivirus that detects attacks in real time (an EDR), monitored by someone; and back up computers and cloud data, so everything can be restored. At Vauban, fixing vulnerabilities is in Helpdesk, the EDR and backups in the Cybersecurity plan.

How do you handle an employee's arrival and departure on the IT side?

The computer must be ready and the accounts open from day one; on the last day, access is cut off and the computer locked, then remotely wiped. At Vauban, this is the Onboarding and offboarding plan, at €25 per user, per month, Helpdesk included, with an up-to-date list of who has access to what in your tools.

My IT provider isn't responding, what should I do?

First, reread your contract: commitment period, notice period, and what they must hand back to you when you leave. Then, have your setup audited by another IT provider before deciding. At Vauban, the audit is free; if you switch, we recover the access, email and files from the previous IT provider ourselves, with no interruption for your teams.

Does IT support come to our office?

Most things are resolved remotely: we take control of the screen and fix the problem while you watch. When someone needs to come over, we bring in vetted experts near you; allow half a day. The visit is not included in the plan, it is done on quote.

Does Vauban work with small companies?

Yes. The service is the same whether you are 10 or 500 people: a single, complete version, with no stripped-down version for small teams. The price is calculated per user, so it follows your size.
